Volunteering for Chicken BBQ

It’s almost Chicken BBQ time again!

The date for this year’s event is May 12, 2012 from 2:00 p.m. to 7:00 p.m. All bands, grades 5 – 12, will perform for this community event. AWBB will be offering both dine-in and carryout meals.

The Chicken BBQ is a major fundraiser for the band programs. Many volunteers doing a variety of jobs are needed to make this event a success.

Volunteers will be needed for set up on the 11th. On the 12th, volunteers will be needed to cut and package desserts, help run the bake sale, package and serve dinners, sell 50/50 tickets and clean up. Various shift times are available.

If you are able to donate a few hours of your time to help make our annual BBQ a continued success, please fill out the Chicken BBQ Volunteer form. Karen Lemle is coordinating the Chicken BBQ volunteers: she will contact you to finalize the details.

Golf Ecology, Jamie Farr Toledo Classic, August 5-13

The Anthony Wayne Band Boosters are in charge of the ecology duties at the Jamie Farr golf tournament again this year and we need your help.

This is one of our largest fundraisers of the year. We encourage you to form a team (of 2, 4 or more people) to take care of the trash around the tees, greens, fairways and hospitality areas during the tournament. As a volunteer, you can attend the tournament for free, even when you are not working.

Band parents, students, alumni, relatives, neighbors and anyone interested in helping is welcome to volunteer.

The tournament is again at Highland Meadows in Sylvania. You can learn more at jamiefarrtoledoclassic.com.

It takes place from August 6 to 12, so our ecology duties run from August 5 (setting up the Sunday before) to August 13 (tearing down the Monday after).

August 6-9 will also be the beginning of marching band camp, so we know the high school students will not be able to volunteer on those days. (But that also means high school families will not be away on vacation that week.) We especially welcome junior high and middle school families to volunteer: it is a great way to get involved as a booster.

For now, check your calendars and start talking with others about forming a team. Starting in a few weeks, you will be able to sign up online for specific shifts. We will email more information and post it here. We will be at the spring concerts and upcoming booster meetings to answer questions and let you sign up in person.

We are also looking for parents from each grade to help us recruit, schedule and plan. So even if you do not want to work on the course, you can donate some time to a good cause.

If you are already sure you would like to volunteer your time, you can reply to this email. As an early volunteer, we will make sure you get first choice in selecting the ways that you want to help.

Nominations for Executive Committee

Dear fellow boosters:

The nomination committee is beginning the search for candidates to serve on the Executive Committee for next year. Per our by-laws we are to submit a list of nominations at our May meeting.

If you have any interest in serving on the nominating committee, would like to enter your name for nomination, or have any questions regarding the positions on executive committee please feel free to contact me or any present executive committee member.

Below I have listed the positions and terms as defined by our by-laws. Please consider volunteering for these and or other positions in the organization as our students and band directors greatly benefit from the efforts of the AWBB.

Section 1: Definitions

The officers of the Organization shall consist of: President, Vice President, Secretary, and Treasurer.

Section 2: Nominations

Nominations for officers shall be made by a Nominating committee, which shall consist of three (3) members of the Organization, appointed by the President. The committee shall submit a slate of nominees to the Executive Committee not later than their May meeting. Further nominations will be accepted from the floor at the June booster meeting.

Section 3: Elections

Election of officers shall be held at the June booster meeting each year.

Section 4: Term of Office

The officers shall serve for a period of twelve (12) months beginning after the June booster meeting each year with the exception of the Treasurer, who shall serve for a period of twenty-four (24) months also beginning after the June booster meeting. No officer shall serve more than two (2) consecutive terms in the same office. The Vice President shall be the President-elect and shall assume the office of President upon completion of the term of Vice President. In the event that an officer cannot complete their term of office, a special election to fill the remaining term may be held at the next regular booster meeting.

Section 5: Duties of Officers

The duties of the officers shall be as follows:

The President shall call meetings as needed in addition to the regular booster meetings, preside at all meetings, appoint standing committee chairpersons, and appoint ad hoc committees as necessary to meet the needs of the Organization.

The Vice President shall assume the duties of the President in the absence of the President and assist in any way to facilitate the President in carrying out the purpose of the Organization. The Vice President shall assume the office of the President in accordance with Section 4.

The Secretary shall keep accurate records of all booster meetings, make and provide a report of the minutes at all booster meetings, and handle all assigned correspondence.

The Treasurer shall keep accurate records of all monies and other assets belonging to the Organization, make and provide a report of the financial condition of the Organization at all booster meetings, and deliver all financial information and records of the Organization to a tax preparer. In addition, it is the responsibility of the Treasurer to act on all requests for advances and reimbursements as well as to determine when a proposed expenditure has not been budgeted for and will require approval by the membership by vote at a regular booster meeting.
